It’s easy to underestimate how quickly people can fill a space once everyone actually arrives, but you might find that the areas that looked huge beforehand are suddenly pretty cramped, and you might have queues forming in awkward places. In other words, people are too close together and they feel uncomfortable rather than being able to enjoy the event. 

In event planning, a good layout can make a massive difference, and we’re not just talking about the places where people sit and gather – you’ve also got to think about where they walk, queue, eat, dance, and basically spend any time at all.

Outdoor events always sound great when you’re planning then, but then the weather decides to change to something you weren’t expecting, and you might end up with some big problems. 

Even in summer, having some kind of backup plan definitely makes things a lot easier, and that could mean having some covered areas, somewhere dry to sit, or even just shade when it’s hotter than you thought it was going to be. The fact is that people relax more when they’re comfortable, and uncomfortable guests tend to become tired and frustrated guests quite quickly. 

This is the kind of thing people don’t notice unless it’s handled badly, so don’t let that be you at your event. If facilities are easy to find, clean, and properly organised, no one is really going to think twice about them, but the second there aren’t enough, or people are waiting around too long, it becomes something people remember for the wrong reasons. 

That’s why practical things like having enough porta potty facilities is so crucial because it can ensure that the event goes well and people stay happy throughout. 

People almost always underestimate how long things are going to take once you’ve got real people involved, and it could be that your food service runs over slightly, perhaps some guests arrive late, or maybe activities don’t finish exactly when you planned them to and so on. 

That’s why it’s better not to have too tight a schedule in your event planning, because if one thing goes wrong, it can affect everything else. Or even if things do run according to plan, your guests might end up feeling too rushed and not having fun. It’s better to be flexible and just go with the flow a lot of the time, with some rough timings to help people feel calmer and more organised at the same time.
